Position Description - School Archivist

Position: School Archivist
Appointment: Part time

Alumni and Community Development, Director - Events and Marketing
Date: July 2006
Background
The Hutchins Archive collections are very important to the School and
community, to the educational history of Australia, social historians
and future generations. The current Archives adjacent to the Senior
School Library were formally under the control of the Development
Office. The management of the Archives has been passed to the Library
and a development plan and management schedule is required. The current
space is inadequate and a new storage area has been sourced. The
Hutchins art collection which was stored in the Archives area has been
relocated.
The objectives of the Hutchins Archive collections are to:
* Ensure the retention, control and preservation of records of the
School that relate to its origin, history, function, role and activities
* Appraise, acquire, manage, collect and preserve archival
records, special and rare collections which complement its museum
services
* Collect, research, display and exhibit records, artefacts,
objects, images and inventories which enable physical and digital access
for students, staff, alumni and the wider school community
* Establish procedures and policies to allow current students to
develop an appreciation of the School's heritage, facilitate teaching
programmes and service-learning opportunities
Terms of Employment
A probationary period will apply with renewal at the end of the
probationary period subject to satisfactory performance. The salary
will be commensurate with similar salaries offered in Tasmania. The
position is part time.
Qualifications and experience
Essential qualification:
Associate Membership of the Australian Society of Archivists
Desirable qualifications:
A tertiary qualification in archives and records management, and
eligibility for professional membership of the Australian Society of
Archivists
Key Responsibilities and Duties
* Maintenance and development of the Archive collection and
digital repository in consultation with the Director of Information
Services and the Principal.
* Developing an Archive Management Plan comprising an
appraisal and acquisitions policy, a collection development and
management policy, a retention and disposal schedule, and a private
records collection and legal deposit policy
* Establishing working rules - collection development and
management, deposit agreement forms, handling of appraisal and
acquisitions, records management, disposal arrangements, storage
locations and methods, filing systems and descriptions for retrieval,
privacy policy and copyright compliance, budgets, displays, liaison with
the Archives Office of Tasmania, national and state heritage
organisations
* Chairing a steering committee of the Director of
Information Services, a records management representative of the
Schools' administration, Old Boys and volunteers, local historians,
local archivists and librarians to assist in the planning of archival
appraisal and re-appraisal programmes and the management of special or
rare collections
* Establishing alumni volunteers and student leaders to be
involved in a range of preservation projects, collecting oral histories,
arranging and describing records as suggested by the Steering Committee
* Resources for Teaching and Learning
* Sourcing of suitable material for teachers to teach
about the past in relation to our lives today
* Sourcing of suitable material for developing research
related skills for students, accessible for teams of staff, student
helpers, Old Boys and local historians
* Preparing suitable changing historical displays around the
School on a term by term basis
* Preparing an appropriate static and revolving display in
the Archives Room and other suitable areas around the School
* Mounting and display of suitable photographs in the
School foyer.
* Maintaining, displaying and engraving of all school
sporting and academic trophies, pennants and shields
* Mounting displays for Old Boys' Reunions and on other
occasions where an Archives' display is important.
* Responding to enquiries about the School history and school
records
* Ensuring the appropriate environmental conditions for the
storage, security and conservation of records within budgetary
restraints
* Liaising with Archives Office of Tasmania about private
donations which have long term research value for the political, social,
economic, cultural and natural history of Tasmania
* Collecting, sampling, cataloguing, storing, disposing and
displaying as appropriate current material from today to form the School
historical record and best illustrate the purpose, activities and
policies of the School for posterity
* Acquiring open source archival software to develop a routine
digital archival database and image repository in the database driven
website. That database is intended to meet the future digital
preservations standards and protocols for metadata harvesting as well as
ease of operation, OPAC and web retrieval for staff, students and the
School community
